Welcome to Campbelltown Family Care. By booking an appointment, attending our clinic, using our website, or accessing our services, you agree to these Terms & Conditions.
These Terms & Conditions are designed to:
- Ensure fair access to appointments
- Support efficient clinic operations
- Help us provide quality healthcare services to all patients
Appointments
Appointments may be made through:
- Telephone
- In person at reception
- Online booking systems including HotDoc and Healthengine
- Other approved booking methods
Please Note:
- Patients are encouraged to arrive on time for appointments.
- Late arrival may result in a shortened consultation.
- In some cases, your appointment may need to be rescheduled.
- Appointment availability may vary depending on practitioner schedules and clinical demand.
Cancellation & Non-Attendance Policy
Missed appointments and short-notice cancellations reduce appointment availability for other patients requiring medical care.
To support timely access to healthcare services, we kindly ask patients to provide adequate notice if unable to attend.
Short-Notice Cancellation Fee
Patients are required to provide a minimum of 3 hours’ notice if cancelling or rescheduling a GP appointment.
If an appointment is cancelled with less than 3 hours’ notice, Campbelltown Family Care may charge a Cancellation Fee of up to $50.00 to recover reasonable administrative and operational costs.
A cancellation fee may apply when:
- An appointment is cancelled within 3 hours of the scheduled time
- Repeated short-notice cancellations occur
- Appointment time has been reserved and could not reasonably be offered to another patient
Please Note:
- Fees reflect reasonable costs incurred by the practice.
- Fees are not intended as a penalty.
- Fees may be waived in exceptional circumstances at the discretion of the treating doctor or practice management.
Non-Attendance Fee (Did Not Attend / DNA)
Where a patient fails to attend a booked appointment without notice (“Did Not Attend” or “DNA”), Campbelltown Family Care may charge a Non-Attendance Fee of up to $50.00.
A non-attendance fee may apply where:
- A patient does not attend a scheduled appointment without prior notice
- Multiple appointments are missed
- Repeated non-attendance impacts appointment availability for other patients
Important Information:
- Outstanding fees may need to be settled before future appointments can be booked.
- Repeated missed appointments may result in booking limitations or refusal of future appointments.
Fees & Billing
Campbelltown Family Care operates as a mixed billing medical practice.
Consultation fees may vary depending on:
- Appointment type
- Consultation duration
- Practitioner
- Procedures or consumables required
- Medicare eligibility
Bulk Billing Eligibility
- Some concession card holders
- Pensioners
- Children
- Other patients at the discretion of the treating doctor
Payment Information:
- Medicare rebates may be processed at the clinic for eligible Medicare card holders.
- Any out-of-pocket (“gap”) fee remains the patient’s responsibility.
- Fees are payable on the day of consultation unless otherwise arranged.

- EFTPOS
- Debit cards
- Credit cards
Additional fees may apply for:
- Medical procedures
- Dressings and consumables
- Medical reports and forms
- Insurance paperwork
- Non-Medicare services
- Certain referrals, prescriptions, or administrative requests
Referrals, Prescriptions & Medical Certificates
Appointments are generally required for:
- Specialist referrals
- Repeat prescriptions
- Medical certificates
- Test result discussions
- Specialist follow-up
Please Note:
- Fees may apply for non-standard administrative requests.
- Some services may not be covered by Medicare.
- Urgent requests may not always be accommodated on the same day.
Test Results & Follow-Up
- All investigation results are reviewed by doctors.
- Patients may be contacted via telephone, SMS, email, or letter if follow-up is required.
- If you have completed investigations and have not been contacted, we recommend booking a follow-up appointment.
Please do not assume that “no news means normal.”
SMS Reminders & Communications
Campbelltown Family Care may send healthcare communications via:
- SMS reminders
- Telephone calls
- Email communications
Please Note:
- Reminder messages are provided as a courtesy only.
- Patients remain responsible for attending appointments regardless of reminder delivery.
- Please ensure your contact details remain up to date.
Online Bookings
- Online bookings through providers such as HotDoc and Healthengine may be subject to additional provider terms and privacy policies.
- Campbelltown Family Care reserves the right to reschedule, modify, or cancel appointments due to doctor availability, emergencies, or operational requirements.
Privacy & Confidentiality
- Your personal and health information is handled in accordance with our Privacy Policy and relevant Australian privacy laws.
- Please refer to our Privacy Policy for information regarding collection, use, storage, and disclosure of personal and medical information.
Behaviour & Safety
Campbelltown Family Care is committed to maintaining a safe and respectful environment.
The following behaviour will not be tolerated:
- Aggressive behaviour
- Abusive or threatening conduct
- Discriminatory behaviour
- Inappropriate conduct toward staff, practitioners, or other patients
The practice reserves the right to refuse service or discharge patients where behaviour compromises staff safety or clinic operations.
